How to Plan a Training Video That Staff Will Actually Watch

First thought when it comes to training videos?
Too long. Too stiff. Too much like a 2008 PowerPoint with voiceover.

Feeling forced into watching something just for your paycheck.

But done right? A training video becomes your most valuable internal asset—the one that saves you time, reduces errors, and gets people actually paying attention.

Here’s how to create one your team doesn’t skip or mute.

1. Keep It Tight, Light, and To The Point

Nobody wants to watch a 12-minute breakdown on how to format a spreadsheet.

Break your message down into clean, focused segments:

  • One video = one concept
  • 60 to 120 seconds max per topic
  • No fluff (wait—no filler, we promised)

If it’s not essential, it doesn’t go in. Simple.

2. Visuals > Verbal Dumps

Reading slides out loud isn’t a training video—it’s a hostage situation.

Use actual visuals of the task, process, or system being explained. Show the interface. Highlight where to click. Use over-the-shoulder shots for demos.

Train visually, not just verbally.

3. Keep the Tone Human

Formal doesn’t mean robotic.
Keep your tone friendly, clear, and casual—not like someone reading off an employee handbook.

Staff will respond better to language that sounds like it’s coming from a peer—not corporate legal.

4. Make It Modular

Instead of one long video, break it into a series of short clips.
This makes them easier to:

  • Update
  • Reuse
  • Embed in onboarding emails or internal platforms
  • Track progress if you’re using a learning system

Bonus: shorter videos = lower production costs. Smart business move.

5. Add Subtitles (Always)

People watch with sound off—especially on mobile.
Subtitles also help with accessibility and global teams. Every training video we create includes closed captions by default. That’s just good practice.

6. Branded, Not Boring

This is still your company.
We design training videos to be clean, on-brand, and consistent with your visual identity—so even internal content reflects your business properly.

We also build custom intros/outros and motion graphics where needed. Because training can look good, too.
